Privacy & Data Policy

IgniteAI KC ("we," "us," or "our") provides AI automation and workflow services to local businesses. This policy explains what data we collect, how we use it, who we share it with, and what rights you have. We keep it plain — no legalese.

Who This Covers

This policy applies to (1) visitors to igniteaikc.ai and its subpages, (2) prospective clients who submit an intake form, and (3) end-users of systems we build and operate on behalf of our clients — such as registration forms, chatbots, and automated communications for sports facilities and local businesses.

What Data We Collect

Depending on the service, we or our clients may collect the following through systems we build and operate:

Contact and identity information — name, email address, phone number, and in some cases mailing address.

Registration information — program selections, age division, shirt size, and similar data collected during activity or league sign-up.

Payment information — processed directly by Stripe. We do not store card numbers or payment credentials.

Call recordings and transcripts — when our AI voice receptionist handles inbound calls, those calls may be recorded and transcribed for quality and operational purposes. Callers are notified at the start of every call.

Chatbot conversations — messages exchanged with AI chat assistants we deploy on client websites.

Intake form responses — information submitted through our own Get Started form at igniteaikc.ai/intake, including business information, budget, and goals.

How We Use Data

Data collected through systems we operate is used only to deliver the service it was collected for — confirming registrations, answering questions, routing follow-ups, and providing operational summaries to our clients. We do not sell personal data. We do not use it for advertising. We do not share it with third parties for their own marketing purposes.

Aggregate and anonymized information may be used to improve our systems and service quality.

Third-Party Service Providers

To deliver our services, we work with a carefully selected set of third-party technology providers. These may include platforms for workflow automation, cloud data storage, form collection, payment processing, AI-powered voice and chat tools, web hosting, email delivery, and SMS communications. Each provider receives only the data necessary to perform their specific function and is not authorized to use it for any other purpose.

All payment data is handled by a PCI-compliant payment processor. We do not store card numbers or payment credentials. Call recording and transcription is handled by an AI voice platform, with callers notified at the start of each call. Chatbot conversations are processed by an AI chat provider. No personal data is sold or shared with any third party for their own marketing or commercial use.

Data Retention

Call recordings and transcripts are retained for 12 months and then deleted. Registration and contact data is retained for the duration of the active client relationship plus one full program season, after which it is purged or returned to the client. Chatbot conversation logs are retained for 90 days. When a client relationship ends, we export their data and delete our copies within 30 days of their request.

Children's Privacy

Some systems we build serve youth sports organizations and may collect information about minors in connection with activity registration. In all such cases, information is collected from and provided by a parent or guardian, not directly from the child. Our clients are responsible for obtaining appropriate parental consent prior to submitting any minor's data through forms we build. We do not knowingly collect personal information directly from children under 13. If you believe we have received such information without proper consent, contact us immediately and we will delete it.

SMS Communications

If you opt in to receive text messages through a form we operate, you may receive transactional messages (registration confirmations, reminders) and, if separately consented, re-engagement communications. Message and data rates may apply. You can opt out at any time by replying STOP to any message.

Email Communications

Automated emails sent through systems we operate include an unsubscribe option. If you no longer wish to receive communications, use the unsubscribe link in any email or contact us directly and we will remove you promptly.

AI Interactions

Where we deploy AI-powered tools — including voice agents and chat assistants — those tools will identify themselves as AI at the start of the interaction. They are not human representatives. Conversations may be logged for quality review by our clients.

Security

We restrict access to client data to authorized personnel only. API credentials are scoped to specific domains and services. Client dashboards are access-controlled. While no system is perfectly secure, we take reasonable technical and organizational measures to protect the data we handle.

Changes to This Policy

We may update this policy as our services evolve. We will update the "last updated" date above when we do. If changes are material, we'll notify active clients directly.
